At Calvert Kielder, we take your privacy seriously. This policy explains what personal information we collect when you use our website, how we use it, and what your rights are. We’ll never use it in ways you wouldn’t expect, and we’ll always be straightforward about what we’re doing and why.

1. Who we are
Calvert Kielder is the data controller for the personal information collected through this website. That means we’re responsible for deciding how and why your data is used, and for keeping it safe.

2. What information we collect and where
When you use the contact, enquiry or booking forms on our website — including on our Contact Us, Respite Care, Group Bookings and Activities pages — we’ll ask for your name, email address, telephone number and a message.
When you sign up to our e-newsletter (MailChimp) — including on our sign-up forms and when giving marketing consents as part of booking/donating — we’ll ask for your name and email address, along with marketing consents.
When you use our booking system (GemaPark) — including while booking a self-catered lodge or B&B room — we’ll ask for your name, email address, telephone number and payment information. We may also ask for access/disability information at time of booking.
When you use our online donation process (Stripe) — we’ll ask for your name, email address, telephone number and payment information.
Once you’ve submitted any form, you’ll receive confirmation that your request has been sent.
When you visit our website, your IP address is passed to Google when the site’s fonts load (Google Fonts) and to the Care Quality Commission (CQC) when our CQC rating badge loads. If you accept analytics cookies, Google Analytics also collects information about how you use the site.
3. How we use your information
We use your personal information to:
- Respond to your enquiries and process your bookings — we process your data because it is necessary to take steps at your request prior to entering into a contract, or to perform a contract with you. (Lawful basis: Contract — Article 6(1)(b))
- Send you information about Calvert Kielder, including news, offers and updates — we only do this where you have given us your consent to do so. You can withdraw your consent at any time by contacting us or clicking unsubscribe in any email we send you. (Lawful basis: Consent — Article 6(1)(a))
- Keep internal records — maintaining accurate records is a legitimate business interest, carried out proportionately and with appropriate safeguards in place. (Lawful basis: Legitimate interests — Article 6(1)(f))
- Display our website — we use Google Fonts to display the site’s typefaces and show our CQC rating badge, which means your IP address is passed to those providers when a page loads. (Lawful basis: Legitimate interests — Article 6(1)(f))
- Improve and personalise our website — we use analytics to understand how our website is used and to improve your experience. This relies on analytics cookies, which are only set after you have given your consent via our cookie banner. Our cookie consent tool (CookieYes) is compliant with UK GDPR and PECR requirements. - Carry out occasional market research — we may contact you to help us understand how we can improve our services. (Lawful basis: Legitimate interests — Article 6(1)(f)
We will never sell, share or rent your personal information to third parties without your permission, unless we are required to do so by law.If you’ve previously agreed to us using your information and would like to change your mind, you can do so at any time by contacting us at enquiries@calvert-kielder.com.
4. Your rights
Under UK data protection law, you have the right to:
- Access the personal information we hold about you (a Subject Access Request)
- Ask us to correct any inaccurate or incomplete information
- Ask us to delete your personal information in certain circumstances
- Object to or restrict how we process your information in certain circumstances
- Withdraw your consent at any time, where we’re relying on consent to process your data

If you’re not happy with how we’ve handled your data, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
5. Keeping your information safe
We take the security of your personal information seriously. We have appropriate physical, electronic and administrative measures in place to protect the information we collect from unauthorised access, disclosure or misuse.
In the case of a data breach, we will notify the ICO within 72 hours of becoming aware of a qualifying breach.
6. Links to other websites
Our website may contain links to external websites we think you’ll find useful. We don’t control those sites and aren’t responsible for their privacy practices or content — so please check their own privacy policies before sharing any personal information with them. A link from our site to an external one isn’t an endorsement of that site, its owners or its services.

Third-party services
Some of the services we use on our website may set their own cookies or receive information from your browser. These include:
- Google Analytics provides statistics on how our website is used, including which pages are visited and how long visitors spend on them. It only loads after you click accept on our cookie banner. See Google’s privacy policy.
- CookieYes is our cookie consent management tool, which stores your cookie preferences. See CookieYes’s privacy policy.
- GemaPark is our booking system. Its booking and availability widgets load from GemaPark’s own website (bookings.gemapark.co.uk) and set the session cookies listed in the table above, which are needed for the booking process to work. See GemaPark’s privacy policy.
- Social media — our website links to Facebook and Instagram using plain links. We do not use tracking pixels or embedded social media content, so those platforms only set cookies once you visit their sites, where their own privacy policies apply.
- WordPress and Elementor — our site is built on these. They do not set cookies for visitors. WordPress sets login cookies (wordpress_logged_in_*, wordpress_sec_*, wp-settings-* and wordpress_test_cookie) only for site administrators when they log in. These are strictly necessary for logging in.
- Google Fonts — we use Google Fonts to display the typefaces on this website. The fonts load from Google’s servers, which does not set any cookies, but does pass your IP address to Google. See Google’s privacy policy.
- Care Quality Commission (CQC) — our CQC rating badge loads from cqc.org.uk, so the CQC receives your IP address when the badge loads.
- MailChimp powers our newsletter sign-up form. Any cookies it sets are managed through our cookie consent tool and are only set after you have given consent.
